For large incentive programs (100+ delegates), we recommend contacting us at least six to twelve months in advance — particularly if your event falls during peak Miami season (January through April) when hotel availability and venue access become more competitive.

For smaller meetings and events, three to six months lead time is usually sufficient. That said, Florida Meeting Services regularly works with shorter lead times — Stuart and the team are experienced at delivering outstanding programs quickly when needed. That said, each season has its own distinct character and each offers different opportunities for program design.

January through April is Miami's peak season — warm sunny days, low humidity and perfect outdoor conditions make this the most popular period for incentive programs, conferences and gala dinners. The city is at its most vibrant and the demand for the best hotels and venues is highest, so early booking is essential. If your program falls in this window, we recommend contacting Florida Meeting Services at least nine to twelve months in advance to secure the best options.

May and June offer an excellent balance — the peak season crowds have eased, rates become more competitive and the weather remains warm and largely sunny. An increasingly popular window for savvy incentive planners who want Miami's best without peak season pricing.

July through September is Miami's summer — warm, humid and with occasional afternoon thunderstorms, but still very workable for indoor-focused programs and events. Hotel rates are at their most competitive and venue availability is at its most flexible. For groups who can embrace the tropical energy, a Miami summer program has its own distinctive and memorable character.

October through December sees Miami's weather cooling beautifully — warm, sunny and increasingly ideal for outdoor events as the season progresses. December in particular offers a festive and glamorous Miami that many international groups find completely unexpected and utterly captivating.
